Turn a cancellation into a booking with the waitlist

Your best day is one text away from having a hole in it. Here is how the waitlist fills a Saturday cancellation in minutes, with the slot offered to the clients who already asked for it.

Mel runs a four-chair hair salon, and Saturday is her best day. This one was fully booked by Wednesday. Then at 9:40 in the morning a text arrived: her 2pm colour had a sick kid at home and could not come in. That was her longest, most valuable booking of the day, gone. The old routine was grim. Scroll through her phone trying to remember who had asked about Saturdays, message four people, then get two replies at 6pm when the day was already over. Most of the time the slot just died.

A list of people who already said yes

The waitlist flips that. It is a list of clients who have already told you they want in. On the Waitlist screen Mel sees everyone who is waiting, newest first. Each card shows the service they want, the dates and times that suit them, any note they left, and how long ago they joined. Her regulars carry one thing more: a badge showing what they have spent with her over time. When there is one slot and six people waiting, that badge answers the hard question. You can offer the spot to the client who has been coming in for years, not just whoever messaged last.

Offer the slot in one tap

Mel picks Priya, a colour regular with a healthy lifetime badge who had asked for exactly this kind of Saturday. She taps Offer a slot, types "Saturday at 2pm with Mel", and sends it. Priya gets a short message saying a spot has opened up, with the time and a link to book. Email works out of the box, with nothing to set up. If the salon has connected text or WhatsApp, those show up in a dropdown too, and Mel can pick whichever one Priya actually reads.

The card gives her other ways to close it as well. There is a tap-to-call button if she would rather ring. There is a Book now button that opens a new appointment with the client and their service already filled in, for the ones who reply "yes, book me". Once the slot is taken, Mark booked clears that client off the list, and everyone else stays on it for the next opening.

The 2pm was rebooked before I had finished my ten o'clock blow wave. Nobody rang around and nobody begged on Instagram.

The automatic version, for when you are mid-foil

Mel likes choosing who gets the slot. If you would rather not think about it at all, cancelling the booking in Bookatu does the work for you. The moment a booking is cancelled, Bookatu looks for waiting clients whose request fits the freed slot. It checks the service, the staff member if they asked for one, and the date window they gave. Then it messages a small group of the best matches, ranked by how much each client spends with you, so your most loyal clients hear about the opening first.

Each of those offers carries a one-tap claim link. The first client to tap it books the slot on the spot. Anyone who taps later sees that it has already been taken. Offers go out by email as standard, and if you have text messaging set up and the client has opted in, the offer goes by text as well. A client who has already been offered the opening is not pestered about it again.

How clients join the list

None of this works without names on the list, and Bookatu collects them at the exact moment of disappointment. When a client picks a day on your booking page and nothing is left, they see that you are fully booked, with a Join the waitlist button right there. The service they were trying to book carries over, already selected. You also get a public waitlist link you can share anywhere, like your Instagram bio or a reply to a DM.

The join form takes about a minute. A client leaves:

  • Their name, plus a phone number or an email or both.
  • The service they want, or any service if they just want a chair.
  • The earliest and latest dates that work for them.
  • Whether mornings, afternoons or evenings suit, and a note if they have one.

That detail is what makes offers feel personal instead of spammy. Someone who asked for a Saturday colour never gets pinged about a Tuesday trim. To switch the whole thing on, open Settings, find What clients see, and turn on Waitlist.

A cancellation is only lost if the slot stays empty

Cancellations are not going away. People get sick and plans fall over, usually on your busiest day. What you can change is what happens in the ten minutes after that text lands. With a waitlist, a cancellation becomes a message to someone who was hoping you would get in touch. The 2pm that fell out of Mel's Saturday went to a regular who was delighted to take it. The day stayed full, and nobody spent their lunch break ringing around.
