Online booking for photographers: shoots, deposits and delivering the gallery

How a wedding and portrait photographer stopped chasing enquiries over DM, took a deposit at the moment of booking, and delivered the finished gallery through the same link the client already had.

Maddie shoots weddings and family portraits out of a spare room in West Auckland. For the first two years her whole booking system lived in her Instagram DMs. Someone would message asking about a spring mini-session, she'd reply with prices, they'd go quiet, she'd follow up a week later, they'd say they were still keen, and somewhere in that slow back-and-forth half of them drifted off. The ones who did book sometimes forgot, because a message thread is not a commitment.

A booking page that answers the questions for you

The thing eating Maddie's evenings was answering the same three questions: what do you offer, how much is it, and are you free on this date. A booking page answers all three at once. She listed her session types the way a menu lists dishes: a classic portrait session, a mini-session, a full wedding day, each with a length and a price already on the card. A client opens the page, sees the price without asking, picks a date from her real availability, and books. No thread. No follow-up. She wakes up to a booked Saturday instead of a question about one.

A deposit turns a maybe into a yes

A held date with nothing behind it is the most expensive thing a photographer owns, because you turn other people away to keep it. So Maddie put a deposit on every session. When a client books, they pay a set amount up front, and the rest is due on the day. The money lands straight in her account, not held by a platform. The effect is not really about the cash. It's that a person who has paid a deposit shows up, and a person who hasn't sometimes doesn't. The no-shows that used to cost her a whole Saturday mostly stopped.

The deposit was never about the money on the day. It was about knowing the day was actually real.

Here is the part that surprised her. The client who booked the shoot already has a login to Maddie's site, tied to the email they booked with. So when the edits are done, she uploads them into a private gallery on that same account, and the client sees their photos where they already expect to look. No new tool to learn, no third-party proofing site with its own password, no zip file that fills up an inbox. They open the link they already had, and there are their photos.

The gallery does two jobs at once. It delivers the work, and it sells the extras. Maddie includes a set number of edited photos in the price, and the client hearts the ones they want. If they fall in love with more than the included set, the gallery shows exactly what the extras cost, they pay, and only then does the full-resolution download unlock. Until they do, every image is a watermarked, web-resolution proof. A determined person can screenshot a preview, but all they get is the watermarked version, which is the whole point.

What she stopped doing

  • Answering price-and-availability DMs one at a time, at night, after a full day of shooting
  • Chasing deposits by bank transfer and reconciling who had actually paid
  • Paying for a separate proofing and gallery tool on top of everything else
  • Losing the extra-print and extra-photo sales that used to slip away in a follow-up email nobody sent

None of this asks a photographer to become a business person overnight. You put your sessions online, you switch on a deposit, and you deliver the gallery where the client already is. The admin quietly moves off your evenings, the no-shows fade, and the extra sales that used to fall through the cracks turn up on their own. You get the evenings back for editing, or for not editing, which after a wedding season is its own kind of luxury.
