Before the examples, here's the bones of it. Nearly every policy that works says four things, in words a tired client can read on their phone at 10pm:

  • How much notice you need to reschedule or cancel for free. 24 or 48 hours suits most businesses.
  • What happens inside that window, so you keep the deposit or charge a set fee.
  • What a no-show means, usually the full deposit and sometimes a share of the service price.
  • How easy it is to change a booking, so people move it instead of vanishing.

Salon and barber examples (copy these)

Salons and barbershops live and die by the chair. A missed long appointment is a hole you can rarely refill on the day. Keep the tone warm, because most no-shows are good people who forgot, not people trying to rip you off.

A friendly, everyday version for a hair salon:

Plans change, we get it. Give us 24 hours' notice to reschedule and your deposit moves with you. Cancel inside 24 hours or don't show, and the deposit is kept to cover the slot.

For high-value work like balayage, extensions or keratin, where the loss really stings, ask for a bit more notice and say why:

This appointment is booked just for you and takes a few hours of our day, so we ask for a deposit to hold it. Reschedule with 48 hours' notice and the deposit carries over. Inside 48 hours, or a no-show, and the deposit is kept.

And a short one for a busy barbershop, where slots are quick and back to back: "Running late or can't make it? Give us a shout before your slot and we'll sort you out. No-shows lose the booking fee, simple as that."

Spa, clinic and studio examples

Spas, clinics and studios block longer rooms and often prep products or kit ahead of time. Your wording can lean a touch more formal without going cold. The trick is to explain the why in one line, so the rule reads as fair rather than fussy.

A day spa or massage room:

Your room and your therapist are held just for you. We ask for 48 hours' notice to change or cancel. Late cancellations and no-shows are charged 50% of the treatment, as we rarely refill the time at short notice.

A clinic or aesthetics practice, where time and consumables are committed in advance: "A deposit holds your consultation and comes off your treatment. Please give us 48 hours to reschedule. Miss the appointment without notice and the deposit is kept."

For a fitness studio, gym or personal trainer, where a no-show often blocks a spot someone on the waitlist wanted:

Spaces are limited, so if you can't make your session please cancel at least 12 hours ahead and we'll pass it to someone else. Late cancels and no-shows use up the session from your pack.

Put it where people actually read it

A great policy buried in your terms and conditions does nothing on a Sunday night when someone's deciding whether to bother showing up. The words only work if clients meet them at the moments that matter. Use the same short line in three places:

  • On your booking page, right where they pick a time, so it sets the expectation before they commit.
  • In the confirmation, so it lands the moment the booking is real.
  • In the reminder a day or two out, so "I forgot the rule" never holds up.
