Why there's a tiny weather forecast on your booking page

There is a small animated weather forecast on the booking page for outdoor sessions, and it is not only there to look cute. It answers the question everyone asks before booking, and when a session is rained off, everyone gets credited back automatically.

BTThe Bookatu team

Book a spot in an outdoor class on Bookatu and you might notice a small thing on the session card. A little sun, or a few animated raindrops, sitting next to the date. It is a live weather forecast for that exact session, and it is one of those features that sounds like decoration until you actually run outdoor classes. Then it turns out to be the whole game.

It answers the question everyone was going to ask anyway

Every coach and instructor who runs anything outside knows the message by heart. It lands an hour before the session, from someone already half into their gym gear: is this still on? The sky looks a bit iffy. On its own it is a perfectly fair question. Multiplied by six or eight people every single week, it becomes a part-time job you never applied for. The weather card answers it before anyone has to send it. Someone looking at Tuesday's clinic can see that Tuesday looks clear and just book, no message needed.

It is a small shift with a real effect. The people who would have messaged now just glance and decide. You stop being the weather line for your own class, fielding forecasts between sessions when you are trying to actually run one. And the customer gets their answer instantly, at the exact moment they were wondering, rather than waiting on you to look out a window and reply.

It quietly cuts the no-shows

There is a sneakier benefit hiding in there. A lot of no-shows are not really no-shows. They are people who talked themselves out of it. They booked a park yoga class on Monday, woke on Sunday to a grey sky, decided it would surely be a washout, and stayed in bed. The class went ahead beautifully without them. When the forecast is right there on the card at the moment of booking, and it says clear and mild, people commit properly. They can see the morning is going to be lovely, so they show up expecting lovely. Confidence at booking turns into bums on mats later.

A forecast on the card is a small thing doing a big job. It turns 'I'm not sure it's worth leaving the house' into 'see you there.'

And when it really does rain, you are covered

Some days the forecast is honest and it is going to be miserable, and no cheerful animation is going to change that. That is fine too. If a session is genuinely rained off, the owner cancels it in a tap, and everyone who booked is credited back automatically and sent an email to say so. There is no refund admin to grind through and nobody left out of pocket for a class that never ran. The grace is built in. You cancel, everybody is made whole, and you all go again next week.

Yes, we made the little cloud move

We could have put a plain word on the card. Sunny. Cloudy. Instead there is a small animation: a sun that gives off a gentle glow, or raindrops that actually fall when rain is on the way. It is a tiny thing and it took more care than you would think, and we are glad we bothered. A booking page is often the first proper impression someone gets of your business, and a moment of charm on it does you a quiet favour. It says a real person set this up and they sweat the details, which is a lovely thing for a new customer to be thinking about you. The forecast also refreshes as the session gets closer, so what people see a week out only gets sharper the nearer the day comes.

It shows up wherever the sky matters

The card appears on the sessions where weather actually decides things. An outdoor tennis clinic, a beach bootcamp, a mini-session shoot in the gardens, a Sunday yoga class on the grass. If you run everything under a roof, you will not miss it. If you run things under the sky, it might become your favourite little detail. It is genuinely nice to look at, which we make no apology for, because software that runs your business does not have to be joyless.

So no, the tiny animated sun is not only there for show, although it is a little bit for show, and we are quite okay with that. It answers the question your customers were about to ask, and when the weather does win in the end, it makes the cleanup painless. Set up an outdoor session and go and have a look at it. Then keep an eye on the sky, the way you always have, only with far less texting.
