How to Price Your Services Without Guessing

A plain, practical guide to pricing your services: work out your real costs, charge for the result, sanity-check local rates, and raise prices without losing good clients.

BTThe Bookatu team

Most owners set their first prices by peeking at what everyone else charges and knocking a bit off. It feels safe. It's also how you end up flat out, knackered, and somehow keeping almost nothing at the end of the month. Pricing isn't a dark art. It's a few honest sums and a bit of nerve, and once you've done it properly you stop second-guessing every quote.

This is for the person actually doing the work, whether that's in the chair, the treatment room, on the gym floor or in the studio. Let's build a price from the ground up.

Start with what the service really costs you

Before you can price anything, you need to know what it costs to deliver. Not just the obvious bits like product and a room, but everything that has to be paid before you keep a single cent. Sit down once and work it out properly. It's less painful than you'd think, and you only do it now and again.

  • Your time, including setup, cleanup and the gap before the next client.
  • Materials and product used in the service.
  • A slice of your fixed costs: rent, power, insurance, software, water.
  • Card fees and any tax you set aside.
  • The profit you want left over once all of that is paid.

That last line is the one people forget. Profit isn't what happens to be left at the end. It's a number you decide on and build into the price on purpose. If a service doesn't leave you the profit you set, the price is too low. Simple as that.

Price the result, not the minutes

Clients aren't really buying an hour of your time. They're buying the outcome: colour that finally suits them, a back that stops aching, a body that feels stronger, a photo they'll keep for years. Two people can offer the same service and charge very differently, because one delivers a better result and a calmer, more personal experience around it.

So when you price, count the skill and the years behind the work, not just the clock. A treatment that takes you forty minutes because you're good at it shouldn't cost less than the same treatment done slowly by someone green. Speed you earned through skill is worth more, not less.

Price purely by the minute and you punish yourself for getting good at your job.

Use local rates as a sanity check, not a rulebook

It helps to know roughly what others nearby charge. Just use it as a reference point, not a ceiling you're scared to cross. There'll always be someone cheaper. Racing them to the bottom only means you both end up exhausted and broke. The question isn't whether you're the cheapest. It's whether your price matches the value and the experience a client actually gets.

If you sit well above the local average, that's fine, as long as the experience backs it up: the welcome, the result, the little touches, the fact that everything just works. If you sit below average and you're rushed off your feet with no room to breathe, that's usually a sign your prices are too low, not that your diary is a triumph.

Give people a way to spend more

A single flat price gives a client one decision: yes or no. Offer a good, better and best option and the question quietly turns into which one, and a fair few people reach for the middle or the top. You're not pushing anyone. You're giving the client who wants more a clear way to have it.

This is where Bookatu pulls its weight without adding to your admin. Packages, memberships, gift cards and loyalty points are in every plan, with no feature paywalls, so you can bundle services, sell a course of treatments upfront, or offer a membership that smooths out your income. Building a higher-value option is just a setting, not an upsell on your bill. And because Bookatu charges by active clients rather than per seat, your pricing doesn't punish you for having a busy week.

Charge with confidence and protect the booking

A price only counts if the appointment actually happens. A no-show doesn't just cost you the slot, it quietly drags down what every booked hour really earns. Taking a deposit or holding a card at the time of booking makes the commitment real on both sides, and protects the price you worked out so carefully.

With Bookatu you connect your own Stripe, so any deposit lands in your bank, not ours. Bookatu never touches your booking revenue and takes 0% commission, so the full price you set is the price you keep. That matters when you're doing this maths, because a platform skimming a cut of every booking is really a price cut you never agreed to.

Raise prices in small steps, without the drama

Most owners leave it far too long, then panic-jump prices in one go and brace for clients to walk. The calmer way is small, regular rises. A modest increase once a year, with a bit of notice, rarely loses you anyone who values your work. The ones who only ever came for the lowest price were never really your clients anyway.

Let your booking page do the awkward part. When you update your prices in Bookatu, the new rate simply shows when clients book, so there's no uncomfortable moment at the counter. Tell your regulars warmly and ahead of time, thank them, and let the page handle the rest. Good clients know costs go up, and that you deserve to be paid properly.

Pricing isn't something you solve once and never touch again. Your costs shift, your skill grows, and your diary keeps telling you things. Revisit your numbers every so often, keep building in the profit you actually want, and treat each rise as a normal part of running a healthy business. Get the foundation right and your prices stop being a worry, and start being one of the quiet, steady things that keep your doors open.
