A class timetable that fills its own spots

Mara runs eight classes a week off a clipboard by the door, and it shows. Here is how putting every class on the timetable as a capped, bookable session let her members sort their own spots and filled her Saturday reformer by Thursday.

Mara runs a small studio with eight regular classes a week. Vinyasa on Monday and Wednesday evenings, reformer Pilates on Saturday mornings, a gentle Friday class for her older members, a lunchtime stretch on Tuesdays. Twelve mats fit comfortably on the floor. For years she ran the whole timetable off a clipboard by the door and a lot of hoping.

The trouble with a paper list is that it lives in one place, on the wall of the studio. So people booked however suited them, a text one week and an Instagram message the next, or they simply turned up on the night and hoped. Mara tried to hold spots in her head. Every so often a class she thought had room turned out to be full, and someone who had driven across town on a wet Wednesday had to be turned away at the door, which felt awful. Other nights she squeezed fourteen mats into a room meant for twelve and nobody could stretch out. Payment was its own muddle of half-used class cards and cash in a tin, plus the odd I will get you next week that never quite came.

Every class on the timetable, capped

Now each class is a session on her booking page. Monday vinyasa at six, Saturday reformer at nine, each pinned to a day and time and each capped at twelve. When a class is full, the page says full, and that is the end of it. Nobody can book a thirteenth mat, so Mara never has to have the awkward doorway conversation again. The timetable repeats each week, so next Monday's class and the one after are already there to book.

Each class also carries its price. Her drop-in reformer costs more than a mat class, and the page shows the right price against each one. Members pay when they book their spot, so the class cards and the cash tin are a thing of the past. She can glance at her phone before she leaves home and know exactly how many people are coming to the six o'clock.

A full class used to be a happy accident. Now it is just what a filled timetable looks like, and she can see it coming days ahead.

Members book their own mat

The quiet win is that her regulars now sort themselves out. They open the timetable, see Wednesday has three spots left, and grab one. No text to Mara, no waiting on a reply while she is mid-class. When a class fills up, the keen ones simply book further ahead, so her Saturday reformer is often full by Thursday. She spends her evenings teaching a room, not tapping out replies between poses.

It changes the feel of the whole week, honestly. Mara used to spend the hour before each class half-distracted, wondering who would actually show and whether she needed to set out more mats or fewer. Now she knows before she arrives, so she lays out exactly the right number and starts on time. The class feels calm from the first breath, because the admin was all done days ago by the people coming.

For the classes under the sky

In summer Mara runs a Sunday morning class in the park, mats out on the grass. Those are the ones where the weather decides everything. Each session card shows a live forecast for that morning, with a little animation, so members booking the park class can see Sunday looks clear and book happily. It answers the thing they would otherwise text her, which is simply whether it is going ahead at all.

If a class is called off

If the park class gets rained out, or Mara comes down with something and has to cancel, she cancels the session and everyone who booked is credited back automatically and emailed. Nobody turns up to a locked door or a soggy field. Nobody has to chase her for a refund on a class that did not happen. It is handled, and she can actually rest.
