Every booking and what they bought, on one client profile
A client's profile now counts every booking they have with you, shows what they bought beyond their appointments, keeps a postal address, and holds on to the note you typed when you first added them. Here is what changed and where to find it.
A client profile is where you go for quick answers. How long have they been coming? What did they buy last time? Where do you post their gift card? Some of those answers used to live somewhere else. Now they are on the profile.
Every booking, not just the newest 100
The profile used to load a client's newest 100 bookings and count only those. A long-standing regular could never show more than 100. Now the counts at the top of the card cover every booking they have with you, past and upcoming, whatever its status.
The list still opens on the newest 100. When there are more, a line such as Showing the latest 100 of 260 appointments says so. Show 100 more adds the next hundred. When more than another hundred are waiting, Show all 260 puts the whole list on one page, up to 5,000 bookings.
The card's name follows your kind of business. A salon, spa or clinic sees Appointments, a studio sees Classes, a trainer sees Sessions and a restaurant sees Bookings.
What they bought, in one card
Just below the bookings list is a new Purchase history card. It lists what the client bought outside their appointments, newest first, each with its date and amount:
- Shop orders
- Invoices
- Gift cards they bought, and ones someone else bought that they redeemed
- Packs
- Memberships, from joining through each renewal
- Till purchases
A till sale shows up once the client is attached to it. One way is the Attach client (for a receipt by email) button on the Point of sale screen.
Below the purchases, Payments lists the payments on record for the client. That includes booking deposits, cash or bank transfers recorded against them, and refunds, which show as minus amounts.
At the top of the card, Purchases and Payments recorded each have a total, and so does each kind that has something counted. The two totals are kept apart on purpose. A shop order appears once as the thing bought and once as its payment, so adding them together would count it twice.
What counts toward the total
Greyed lines are listed so the history is complete, but they are not counted. That covers refunded or cancelled orders, and invoices that are open, void or refunded. It also covers voided gift cards, and gift cards somebody else bought that this client redeemed. Packs and memberships count once a payment for them is on record.
Matched by email or link, never by name
A purchase shows on a profile when it is linked to that client, or carries their email. That means the email on their record, or on the client account linked to it. Bookatu never matches by name, so two clients who share a name are never mixed up. A client with no email on their record or account only shows what is linked to them directly. Nothing from another business ever appears.
Lifetime spend, with its parts showing
The Lifetime spend tile used to show completed appointments only. It now adds the purchases that count, and the line under it shows both parts, for example $1,240.00 appointments + $180.00 purchases. The first part uses your word for a booking, so a studio sees classes.
Who sees the money
Purchase history and the purchases part of Lifetime spend follow the See analytics & earnings permission. Owners and admins have it from the start. Staff do not, so they see Lifetime spend as before: completed appointments only, labelled that way.
An owner can turn it on for Staff on the Role permissions page, linked from the Team page. It also opens your revenue and reports to that role, so treat it as a decision about your books as a whole.
A place for their postal address
Clients now have a Postal address. The box is on the form you open with Add client on the Clients page, and in Client details on their profile. It is a single box, so any country's format fits. Once saved, it shows in the profile header with their phone and email.
It travels with the rest of their details:
- Import data reads a single Address column, or separate columns for street, suburb, city, state, postcode and country, and joins them into one address.
- A row with only a state or a country gets no address. If the Address column already names the city, it is not added twice.
- Export CSV on the Clients page now ends with an Address column, so every column you already had stays where it was.
- Export data (JSON), under Privacy & data on the profile, includes it too.
Notes that stay put
Say you typed an allergy in Notes when you first added a client. Saving their Client details now leaves that note exactly as it was.
That note lives in the Record, the card below Client details. It is the oldest entry, so you will find it at the bottom of Full history. Client details now says what it is for: Keep their contact details and address up to date.
To add something new, use Add to record. Anything saved as Allergy or reaction, or pinned, always shows under Read first. The note from the day you added them is a plain Note and cannot be pinned. If it is an allergy, it is worth adding again as Allergy or reaction.
A profile should answer the question you opened it for, without sending you somewhere else for the rest.
Where to find it
Open Clients and pick anyone. For owners and admins there is nothing to switch on. If you are moving from another tool, Import data now picks up addresses from your file too.
